I am Winnie Tan, Chairman of the Japan 2011 Earthquake Fund-Raising Committee. Recently, a devastating earthquake has destroyed many properties in Japan and taken away many lives. Many students are very sympathetic towards the victims and thus have set up this committee to raise funds to aid the victims in this disaster. On behalf of the committee members and the concerned students, we are proposing an activity to collect donations for the Red Cross Society.

2nd paragraph –

The activity we have chosen is based on two options – sales of artwork and fun-and-food fair. We considered two factors: the budget of organizing the activity and the participants’ interest in the activity. Finally, after much deliberation, we have chosen the sales of artwork as our fund-raising event.

Budget

Firstly, budget is an important factor we considered. The most crucial purpose of this activity is to collect as much donation as possible. As the principal has indicated, an inexpensive event will mean that we spend minimum amount; so most of the money can be used meaningfully. In this respect, Option A is much more favourable than the other option. From past experience, holding a fun fair will need the students to spend a lot of money on decoration and unneeded resources which will normally be thrown away, so this means too much wastage.

In terms of participants’ interest, we felt that our chosen option may not be as popular as the fun fair. The students have to understand that this is a fund-raising event and the ones to benefit most should be the victims of the earthquake in Japan; as such they should not be so concerned about their personal enjoyment and focused more on the personal satisfaction they will get when they know that their effort has helped to save lives.
 
What to include when you are asked to organize an event?

One way to organize the event is to consider your selection criteria, use them as a way to decide on the details of the event

o In terms of logistics, we have decided that the event will be held on 2 December 2011, Saturday from 10am to 5pm in the school hall. Our choice of date and time is based on our understanding that most students and their family will be freer during the weekends and so we will be able to get more visitors and thus increase our sales. The hall is most suitable as it is spacious and can accommodate the most number of visitors at the same time. Most importantly, the location can still be used on a rainy day.
- Crucial details would be those directly linked to the success of the event
o The success of the event depends on how much donation we can collect. To cut cost, we have decided to get the secondary one students to design and make posters that will be put on in the neighbouring notice boards to attract the residents in the area. To attract the general public, we will promote our event on all popular websites visited by most working class as they are the ones with the spending power.
